Internal events: Make shared time lead somewhere

An event creates a concentrated opportunity to bring people into the same conversation. Colleagues can hear directly from leaders, explore different perspectives and contribute together.

At DOTMENT, we begin by defining what that shared time needs to make possible. That decision shapes the creative concept and the experience around it, including the balance between listening, discussion and participation.

The planning then extends across the whole journey. Before the event, communication establishes why it matters and prepares people to take part. During it, the content and activities give them a meaningful role. Afterward, follow-up connects what happened in the room to what happens at work.

This gives the creative direction a practical responsibility. The theme should influence what people do together, how they engage with the content, and what they carry away.

Our guiding principle: a shared moment should create something people can carry forward.

In practice: Architects of the Future at SODIC

SODIC wanted employees to feel ownership of its four-year corporate strategy, which many saw as something belonging to senior management. The challenge involved both understanding a technical strategy and seeing a meaningful role within it.

We first simplified the strategy into accessible pillars, then developed “Architects of the Future” to position employees as contributors to SODIC’s direction. That idea shaped the event itself. Facilitators helped employees explore the pillars and develop ideas for bringing them to life, recording their contributions on large cubes. 600 employees attended, generating 1,400 ideas.

This connection between the creative concept and the activity was essential. An inspiring theme alone would have left employees’ role largely symbolic. Giving them a specific opportunity to contribute made that role tangible.

The experience continued after the event. The ideation cubes returned to the workplace, and follow-up communications explained what happened to employees’ suggestions. A month later, the CEO announced that their contributions had resulted in 26 new strategic initiatives incorporated into the strategy.

That follow-through mattered as much as the invitation to participate. Without it, employees could have left unsure whether their ideas had influenced anything. By connecting the event to visible decisions afterward, the experience gave employees evidence that their contribution had helped shape the organization’s future.
